How to track roll-off dumpsters without spreadsheets
Short answer
Give every container its own permanent ID and keep its current status, location, customer, delivery date and next action in one system. A delivery, swap or pickup should update that same record instead of creating another row, message or calendar entry.
The first goal is not a complicated dashboard. It is being able to answer three questions without calling a driver: Where is each dumpster? Which units are available? What must happen next?
Why the spreadsheet breaks
A recent small-operator discussion on Reddit described customer information, dumpster locations, deliveries, pickups, scheduling and billing spread across several tools. The problem becomes especially visible when a delivery changes into a swap: the old container returns, another leaves the yard, the customer keeps the rental, and billing may need extra days or overweight charges.
A spreadsheet can store the latest location, but it does not automatically prove who changed it, create the driver's task, protect future availability or connect the completed movement to an invoice. Adding more columns does not repair those handoffs.
The minimum container record
| Field | What it prevents |
|---|---|
| Permanent container ID | Confusing two units of the same size |
| Status: yard, reserved, in transit, on site or unavailable | Promising a container that cannot be delivered |
| Current address and placement evidence | Searching messages for the last known location |
| Customer and order | Separating the asset from its rental terms |
| Delivered date and scheduled next action | Forgotten pickups and unbilled extra days |
| Movement history | Losing the chain between delivery, swap, dump-and-return and pickup |
A six-step replacement workflow
- Number every container. Use a durable ID that does not change with customer, size label or location.
- Clean the starting inventory. Confirm each unit physically and import only records you can reconcile.
- Define allowed statuses. Avoid free-text labels such as “maybe available” that different people interpret differently.
- Make the driver update the movement. The delivery or pickup task should record status, time, location, notes and photos from the field.
- Connect availability to scheduling. A future reservation must reduce the inventory available for that size and date.
- Connect completion to billing. Test extra days, tonnage or other approved charges using the same order rather than retyping it.
What the indexed products document
| Product | Publicly documented approach | What to test |
|---|---|---|
| DSQ Hauler | Numbered-container inventory, future availability, real-time dispatch, driver apps, recurring schedules and QuickBooks Online integration. | Run a delivery, swap and pickup and confirm when future availability changes. |
| Docket | Asset locations on a map, dumpster PIN or QR scanning, driver workflows, dispatch and billing. | Check the location workflow with poor mobile coverage and verify which GPS or fleet connections are included. |
| PJR Software | Real-time dumpster availability, location tagging, photos, scheduling, routing and invoicing after service completion. | Ask the vendor to show the complete audit trail for a swapped container. |
| QuoteIQ | A broader field-service CRM that markets container inventory, rental stages, scheduling, payments and job costing on specific tiers. | Verify that the selected tier tracks individual containers at the level your fleet requires. |
| EquipDash | A multi-vertical rental platform that documents container statuses, drop/swap/collection scheduling, overdue rentals and mobile driver jobs for dumpsters. | Run the full cycle and confirm which tier includes each required operational feature. |
Feature names are not enough. Compare the products with the same real rental and ask the salesperson to show every state change on screen.
Demo script: one rental that exposes weak software
- Reserve a 20-yard container for a future delivery while only one matching unit is available.
- Assign the delivery and have the driver record the placement and a photo.
- Move the pickup date and confirm that dispatch and availability both change.
- Swap it for a 30-yard container and identify where both physical units appear.
- Add an extra-day or overweight charge using the vendor's supported workflow.
- Complete the pickup and check whether the returned unit is available for the next order.
- Export the final invoice and confirm what reaches the accounting system without duplicate entry.
If the vendor cannot complete this chain, keep the spreadsheet during the trial. A controlled parallel run is safer than moving every active rental into an unproven workflow.
Which type of software should you shortlist?
- Container location is the main problem: start with waste-specific inventory and driver workflows.
- Phone-only orders are the main problem: also compare online booking versus dispatch software.
- You run several service trades: compare a general field-service CRM with a waste-specific tool using the same swap test.
- You are a small owner-operator: use the small-operator buying guide before booking demos.
